China Foreign Affairs University International Exchange Center Accommodation Notice

This notice applies to doctoral students, postdoctoral researchers, international students in China, and international education program students staying at International Exchange Center (hereinafter referred to as IEC) for a semester or more, as well as personnel whose accommodation arrangements and management are based on these categories.

I. Check-in Procedures

1. IEC assigns rooms and beds uniformly based on housing needs submitted by relevant departments/offices on campus and does not accept individual applications directly.

2. Residents must comply with the room arrangements agreed upon by their respective departments/offices and IEC. Occasionally room changes may be necessary. In these situations, we ask for your cooperation. Unauthorized room changes are not permitted.

3. Check-in procedures and room card collection are conducted at the IEC front desk with a valid ID or passport. A fee is charged for lost or damaged room cards.

4. Rooms and beds are for the exclusive use of the residents. Unauthorized occupancy of other individuals is prohibited without approval from relevant college department.

5. Keeping poultry, livestock, pets, or any animals at IEC is strictly prohibited.

II. Facilities and Hygiene

1. Upon checking into the room, promptly inspect and confirm whether any facilities or equipment are damaged. Maintain the facilities during your stay and report any damage to IEC staff immediately for repairs.

2. Unauthorized dismantling or modification of IEC facilities is strictly prohibited.

3. Altering the original appearance of IEC walls, floors, facilities, or equipment by painting, sticking paper, using adhesive hooks, nailing, or installing sliding tracks, which may cause damage upon removal, is not allowed.

4. IEC is responsible for maintaining and repairing facilities that are worn or damaged due to natural aging under normal use.

If damage is caused by residents’ improper behavior, residents may attempt to repair the damage with IEC staff permission. If the resident is unable to adequately make the needed repairs, IEC will arrange for repairs at the resident’s expense.

5. IEC does not provide indoor cleaning services. Residents are expected to keep their rooms clean.

6. Dispose of trash promptly and sort waste properly in designated areas. Spitting or littering in public areas is prohibited.

III. Safety Regulations

1. Smoking is prohibited throughout the IEC building, including public areas, rooms, and balconies.

2. Use room water, electricity, gas, and related facilities safely. Avoid behaviors that could cause electric shock or fire. Adhere strictly to the following rules:

(1) The use of high-power appliances over 360 watts, such as immersion heaters, induction cookers, rice cookers, electric kettles, hair curlers, and hair dryers, is prohibited in accommodation rooms (IEC-provided air conditioners are an exception). If necessary, these appliances can be used in the public kitchen, service desk, or laundry room.

The use of alcohol stoves and other flammable appliances is prohibited, as is the use of unbranded electrical appliances.

IEC will confiscate such appliances if found in use and return them upon check-out.

(2) If extension cords are needed, they should be arranged neatly to prevent fire hazards from tangled wires. Turn off all power when appliances are not in use or when leaving the room.

(3) Do not cover smoke detectors or hang items on fire sprinkler heads.

(4) Do not tamper with electrical distribution boxes or meter boxes without permission from IEC control personnel.

3. Use the IEC public kitchen properly and ensure that fire, water, and electricity are turned off immediately after use.

4. Storing fireworks and other flammable or explosive materials at IEC is prohibited. Do not hang or stack items in balconies, corridors, or hallways.

6. Climbing on doors, windows, balconies, and other facilities is prohibited.

7. Throwing objects out of windows is prohibited.

8. Safeguard your valuables. Report any thefts to IEC immediately.

9. Engaging in gambling, drug use, prostitution, illegal gatherings, fighting, or drunken disturbances within IEC is prohibited.

10. Cooperate with IEC safety inspections and fire drills.

IV. Check-out Procedures

1. Before checking out, settle your personal water and electricity bills at the front desk. Notify IEC staff for a room inspection.

2. Clean the room yourself or hire cleaning personnel (cleaning personnel must follow procedures to enter IEC). Costs are the responsibility of the resident.

Compensation is required for any lost or damaged items in the room.

3. Return your room card to the front desk when checking out.

4. Ensure all personal belongings are removed upon check-out. Any items left behind will be considered abandoned.

5. If residents need to leave IEC for reasons such as studying abroad or relocating to another city for a semester or more, but plan to return within a year:

(1) Inform the IEC front desk before departure and complete the check-out process, allowing IEC to reallocate the bed.

(2) If storage of luggage is required, arrange it at the front desk. Valuables cannot be stored.

(3) Submit an application to resume accommodation to IEC through your department/office at least one month before returning to campus. Upon return, rooms will be reassigned for check-in.

Storage of luggage at IEC is not permitted for those who leave IEC for more than one year and does not come back.

V. Additional Information

1. Quiet Hours: IEC observes quiet hours from 10:30 PM to 7:00 AM daily. During this time, loud noises, vigorous activities, and dragging furniture that may disturb others are prohibited.

2. Visitor Reception:

(1) Visitors (non-IEC residents) entering IEC rooms must be accompanied by their host, register at the front desk, and leave a valid ID, which can be retrieved upon departure.

(2) Visitors are not permitted to enter or remain in IEC rooms from 10:30 PM to 7:00 AM.

(3) Locking Time: The main entrance of IEC is locked from 0:00 AM to 6:00 AM daily. Visitors (non-IEC residents) are prohibited from entering IEC during this time.

IEC staff have the authority to enforce these rules. Students who refuse to comply or repeatedly violate these rules face report to their departments/offices and even eviction. Residents are responsible for all consequences and costs arising from such action.
